What are the best Google Workspace alternatives in 2026?
Google Workspace alternatives start at $1 per user per month. Zoho Mail Lite is the cheapest verified option on 24 October 2026, and Zoho Workplace Standard at $3 undercuts Google Workspace Business Starter at $7 and Microsoft 365 Business Basic at $7; Proton costs $6.99.
What matters
- Zoho Workplace Standard is $3 per user per month billed annually against $7 for Google Workspace Business Starter and $7 for Microsoft 365 Business Basic, all checked on 24 October 2026.
- The 16 October 2026 privacy policy edit only opens Gmail, Drive and Photos content to ad targeting when you yourself connect those services to something that supports personalized ads.
- Mail-only seats are the real savings: Zoho Mail Lite is $1 per user per month (annual billing only, 5 GB) and Fastmail Business Basic is $3 on yearly billing for 6 GB.
- A five-person team saves $240 a year choosing Zoho Workplace Standard over Google Workspace Business Starter, and $960 a year at 20 seats.
- Moving mail off Google does not move Google Docs, Sheets or Drive files, so budget an export before you cancel anything.
What Google changed on 16 October 2026
Google rewrote the ads paragraph of its privacy policy. The text now live on policies.google.com reads: "We don't show you personalized ads based on your content from Drive, Gmail, or Google Photos, unless you choose to make data from these services available to other Google services that support personalized ads."
The Verge reported the change on 23 October 2026 and dated the edit to 16 October. The new exception fires when you have connected Drive, Gmail or Photos to AI Mode or other Search tools through the Personal Intelligence feature, so those tools can answer with context from your files.
Two limits sit in the same paragraph and get dropped from most coverage. Google says advertisers never receive the content or personally identifying details such as your name or email address, and personalized ads are not built on sensitive categories like health, religion, race or sexual orientation. So the change is narrower than "Google reads your inbox for advertisers": the assistant you connected now feeds the ad system Google already ran. If you never connected those services, nothing about your ads moved.
Do you need to leave Google Workspace over an ad policy?
The edited text draws no line between a free Google account and a paid Workspace seat, and none of the 16 October language is Workspace-specific. For a business the practical question is admin control: which services your users have connected to Search personalization, and whether that is allowed by your own policy. Checking and revoking those connections is an afternoon of admin work, not a migration project.
The reason buyers actually start comparing Google Workspace alternatives is the renewal invoice. Google's pricing page lists Business Starter at $7.00 per user per month on an annual commitment, with a 30% introductory discount to $4.90 running 6 November 2026 to 6 February 2027 for new customers on their first 20 users. Zoho sells a comparable suite at $3 and mail-only seats at $1. At 20 seats that spread is $960 a year, which is a budget conversation no privacy headline can replace.
Google Workspace alternatives, priced per seat
Zoho: the cheapest verified option
Zoho Mail Lite is $1 per user per month with 5 GB of mail storage, and Zoho does not offer it monthly at all, so the annual commitment is mandatory. Mail Premium is $4 for 50 GB plus 50 GB of retention storage. The suite plans are where Zoho gets awkward for Google: Workplace Standard is $3 per user per month billed annually ($4 month to month), with 30 GB of mail per user, 100 GB of team file storage and Zoho's own Writer, Sheet and Show apps. Workplace Professional is $6 annually ($7 monthly) with 100 GB of mail and 1 TB of team files.
Fastmail: mail and calendar only, done well
Fastmail Business Basic is $4 per user per month, or $3 if you pay for a year ($36 per user). That buys 6 GB of total storage per user, split 5 GB for mail, calendar and contacts and 1 GB for files. Business Standard at $6 monthly ($5 yearly) raises it to 60 GB. There is no office suite, no video product and no AI assistant bundled. If your team lives in a mail client and a calendar, that is the point rather than a defect, and Fastmail publishes its own migration guide for Gmail users.
Proton: privacy as the product
Proton for Business starts with Mail Essentials at $6.99 per user per month billed yearly ($83.88 per user per year) for 15 GB of storage, three custom domains and an encrypted calendar. Workspace Standard is $12.99 for 1 TB and 15 domains, and Workspace Premium $19.99 for 3 TB, 20 domains, video meetings for 250 and Proton's Lumo AI chat. This is the only option here priced above Google's entry tier, so it has to win on encryption and business model rather than price.
Microsoft 365: the same $7, a different suite
Microsoft's plan comparison lists Microsoft 365 Business Basic at $7.00 per user per month paid yearly: web and mobile Word, Excel, PowerPoint and Outlook, custom business email, Teams, 1 TB of OneDrive storage per user and a 100 GB primary mailbox with 50 GB of archive. Business Standard with Copilot is $23.50 and Business Premium with Copilot is $32.00. Matching Google's price while staying inside Microsoft's ecosystem is usually the least disruptive switch for a team that already works in Excel and OneDrive.
Cheapest Google Workspace alternatives at five seats
List prices on annual billing, five users, captured 24 October 2026:
- Zoho Mail Lite: $5 per month, $60 per year, annual billing only.
- Zoho Workplace Standard: $15 per month, $180 per year.
- Fastmail Business Basic: $15 per month, $180 per year on yearly billing ($20 per month if you pay monthly).
- Proton Mail Essentials: $34.95 per month, $419.40 per year.
- Microsoft 365 Business Basic: $35 per month, $420 per year.
- Google Workspace Business Starter: $35 per month, $420 per year.
Between the cheapest suite and Google the gap is $240 a year at five seats, about one seat's cost, and $960 at 20 seats. Proton lands within a dollar of Google for a mail-only product, so treat it as a privacy purchase, not a cost saving. The one real outlier is Zoho Mail Lite: a tenth of Google's price if mail is all you need.
The catches the comparison lists skip
- Zoho Mail Lite has no monthly plan. The $1 rate assumes a year up front, and the plan stops at 5 GB per user with no file storage. Teams that grow past that jump to Mail Premium at $4, which erases most of the advantage over Fastmail.
- Fastmail and Proton are not Workspace replacements. Neither bundles documents, spreadsheets or video, so a team that uses Google Docs daily would end up paying for two products.
- Microsoft Business Basic is browser-only Office. The desktop versions of Word, Excel and PowerPoint start higher up the Microsoft ladder, so the $7 tier is not a like-for-like swap for a team that needs installed Office.
- Google's discount is temporary. The $4.90 rate applies for three months to new customers, then reverts to $7.00. Any comparison that quotes the promotional number as the ongoing price is wrong within a quarter.
What you give up when you leave
Google Workspace's real lock-in is not Gmail, it is everything attached to the account. Business Starter bundles 30 GB of pooled storage per user shared across the organisation, Gemini in Gmail, video meetings for up to 100 participants, Google Vids and the Docs, Sheets and Slides files your team has been sharing for years. None of that travels with a mail migration: a Zoho or Fastmail mailbox is a mailbox, and your Drive files stay on the Google account until you export them.
That shapes the decision more than any price table. If you need mail on your own domain, Zoho Mail Lite at $1 or Fastmail at $3 to $4 replaces exactly the part you are paying Google for. If you need the suite, compare Zoho Workplace (documents, spreadsheets and presentations included) or Microsoft 365, and budget real time for exporting shared drives, rebuilding calendar sharing and re-pointing your MX records. Your domain stays yours throughout; the mailboxes behind it move.
Which Google Workspace alternative fits your team
- Mail only, tight budget: Zoho Mail Lite at $1 per user, accepting annual billing and 5 GB. Step up to Mail Premium at $4 if you need retention.
- Cheapest full suite: Zoho Workplace Standard at $3 annually. You trade Google's ecosystem polish for $4 per seat per month.
- Privacy is a requirement, not marketing: Proton Mail Essentials at $6.99. You pay Google-level money for encryption and an ad-free model.
- Already standardized on Microsoft: Microsoft 365 Business Basic at $7, the same price as Google, with Teams and 1 TB of OneDrive.
- Email power users: Fastmail Business Basic at $3 to $4, the best storage-to-price ratio for a single mailbox.
- Staying on Google: audit what your users connected to Search personalization, then negotiate on seat count at renewal instead of migrating.

FAQ
Does the October 2026 Google privacy policy change apply to Google Workspace?
The edited text makes no distinction between free and paid accounts, but the exception only applies when you connect Drive, Gmail or Photos to a Google service that supports personalized ads, such as Search personalization. Google states advertisers never receive that content or your name and email address. Review which services your users have connected before treating the policy as a reason to migrate.
What is the cheapest Google Workspace alternative?
Zoho Mail Lite at $1 per user per month billed annually is the cheapest mail-only option verified on 24 October 2026, and Zoho Workplace Standard at $3 is the cheapest full suite. Fastmail Business Basic costs $3 per user per month on yearly billing for 6 GB per user.
Can I move off Google Workspace and keep my email address?
Yes. Your domain stays registered to you; you point its MX records at the new provider and recreate the mailboxes there. Google Docs, Sheets and Drive files do not move with the mail, so export them separately before you cancel the Workspace subscription.
